Our Software Update is Here!

We’ve been talking about our transition from our old software system to a new/updated system for a while now, and the time is finally here. The week of 7/15-7/19, we will be cutting over to the new platform. Here’s how the process will work:

Monday 7/15

All new orders will be keyed into the new system and start flowing through the new processes. All work in the current system will stay in those workflows until mailed out (unles a restart is required, in which case the restarted order will be put into the new system).

Accounts may receive work in process or delay notifications from two separate systems during this week, and until all old work is flushed out of the system.

Tuesday 7/16

VisionWeb will port to the new software platform. Ordering will not change, but customers tracking work in process in VisionWeb will lose visibility into jobs in the older system. Please reference the job status reports from the old system for updates on your jobs.

Wednesday 7/17

Eyefinity will cut over to our new system and start entering jobs directly into production.

Thursday – 7/18

Thursday will be the last shipping day in the old system. Any orders still in process that won’t be shipping in our old software will be ported to the new system to be shipped from there. After thursday, all invoices will be from the new system.

Friday – 7/19

We will be closing out our old system and generating “month end” statements. All accounts will receive two statements for the month, a reference statement for invoice information from the old system, and a statement from the new system with balances forwarded from the old. Please pay your lab bills from the new statement.

Some other considerations…..

There’s a lot going on here, we’re basically building a new lab from the ground up in some ways, so there will be many differences in how we process work, how you send work to us, the capabilities we have…etc. We’re removing a lot of inefficient processing, so our turn times and quality will be much better. But it will take us a bit to settle in, so we appreciate your patience while this awesome new experience unfolds.

Our ability to archive old orders for lenses only work and remakes will be limited for a while while we build up history (we can’t just move those tracings from one system to another). However our new system does give us access to Frames Data shape information, so we’ll be able to surface your orders to excellent accuracy before receiving the frame in many cases, and in a pinch do some lens only work from their database. We will likely ask for frames for your remake or archive orders more often than you’re used to for a time, so again, thank you for your patience.
